This guide will walk you through viewing attendance after a Check-In event has concluded, attendance for repeating events, manually adding headcount to an event instance, and understanding how modifications to a repeating event (like adding new sessions) affect future occurrences.
Viewing Attendance for a Completed Check-In Event
Once a Check-In event has finished, you can review who attended:
Navigate to Events > Check-In from your Subsplash Dashboard.
Select the specific past event instance you want to review (e.g., an event from "today" as shown in the video).
When you open the event instance, you'll typically see two key figures:
Registration: This shows the number of individuals who registered for this specific event either on the app or website.
Attendance: This shows the number of individuals who were actually checked in to this event instance using the Subsplash Check-In system.
To see a detailed list of who checked in, click on the Total Attendance figure. This will display the names of all attendees for that event.
Adding Headcount to an Event Instance
If you know some individuals attended but missed the check-in window, you can manually adjust the attendance from the view where you see the Total Attendance for a specific event instance (as described above).
Locate and click the "Edit attendance" button, typically found in the top right-hand corner of the event instance details.
A window will open, displaying all sessions for that event instance.
Select the session you want to adjust and enter the additional headcount number.
Confirm or save the changes.
Viewing Attendance Analytics for Repeating Events
To understand attendance trends across multiple occurrences of a repeating event:
Navigate to Events > Repeating Events and select the desired Repeating Event (It is recommended you select a repeating event normally used for check-in).
On the main page for the repeating event there is an overview of Attendance over time for multiple events at a glance.
For a more detailed, individual event breakdown, click on the Average Attendance figure. This will open a list showing each past event instance and its respective attendance count, allowing you to track trends.
Modifying a Repeating Event Session
You can update the structure of all future events by editing the parent repeating event. Here’s how to add a new session:
Navigate to Events > Repeating Event and select the repeating event you would like to adjust.
Within the Repeating Event, navigate to the Check-In tab.
Click on Sessions.
Select the option to "Create session."
Configure the new session:
Provide a name
Assign a session type (Adults, Child, or Everyone).
Add any criteria to the suggestion engine
When you Save, you willl be prompted to decide how this change affects existing future event instances:
Ignore edited event instances: (Often recommended if future instances have already been uniquely customized) This change will not apply to already scheduled future instances.
Update all future event instances: This change will apply to all scheduled future instances of this repeating event.
Click Confirm.
