Custom Profile Fields

We're excited to introduce Custom Profile Fields in Subsplash! This feature allows you to add specific data to your People profiles, helping you track information unique to your community beyond the standard fields.

Here’s how you can create and manage these custom fields:

Accessing Custom Field Settings

  1. Navigate to the People section in your Subsplash Dashboard.

  2. Click on Settings within the People area.

  3. Scroll down the Settings page. You will find the Custom Profile Fields section located beneath the "Promotion Date" option.

Creating a New Custom Field

  1. Click the Create a Custom Field button.

  2. Field Name: Give your field a clear and descriptive title (e.g., "T-shirt Size," "Volunteer Interest," "Staff Start Date").

  3. Field Type: Choose the format that best suits the information you want to collect. Your options are:

    • Short Answer: For brief text entries.

    • Long Answer: For more detailed text.

    • Dropdown: To create a list where users can select one predefined option.

    • Multi-Choice: To create a list where users can select multiple predefined options.

    • Date: For selecting a specific date from a calendar.

Configuring Field Options

  1. Short Answer and Long Answer will provide fields to insert text.

  2. If you select Dropdown or Multi-Choice, you will need to define the options for the list. Enter each option you want to include (e.g., for "T-shirt Size," you might add "Small," "Medium," "Large," "X-Large"). Each option is added individually.

  3. Reordering Options: If needed, you can change the order of your options by clicking and dragging the handle (usually represented by dots or lines) to the left of the option name.

  4. Once you've named your field, selected its type, and added any necessary options, click the Create button.

  5. Your new custom field is now active and added to the available data points for your People profiles.

Adding Custom Field Data to a Person's Profile

  1. Go to the profile of the individual you want to update within the People section.

  2. Look for the Other section, located in the bottom left portion of the profile view.

  3. Click "Add More Details" or the pencil icon.

  4. A list or pop-up will appear showing all the Custom Fields you have created.

  5. Find the field you want to update (e.g., "T-shirt Size").

  6. Select or enter the appropriate information for that individual (e.g., choose "Large" from the T-shirt Size dropdown).

  7. The information will be saved to their profile.

FAQ

How do I Archive (Remove) a Custom Profile Field?

If you no longer need a custom field you can remove it by following the below steps:

  1. Return to People > Settings > Custom Profile Fields.

  2. Find the field you wish to remove.

  3. Click the three dots (...) icon located on the right side of that field's row.

  4. Select Archive. The field will be removed from active use and won't appear when editing profiles going forward.

How do I Import into Custom Profile Fields?

You can import into a custom field using a CSV document! If you are importing People data into Subsplash for the first time, follow our guide HERE.

If you already have People data and would like to update information in bulk, follow the below steps:

  1. Create your New custom fields you would like to include in the import following the above steps in this article.

  2. Export your People data (the CSV should include custom field definitions).

  3. Fill in your custom field definition data on the CSV document for all applicable contacts & save.

  4. import your updated CSV document into Subsplash ensuring to keep the profile_id column. The profile id will be what’s used to match an existing person so we don’t create a duplicate

Why can't I see Custom Profile Fields?

The Custom Profile Fields feature is an enhancement available in the current Subsplash People platform. Users of the previous version of People on the Management dashboard utilizing custom detail sheets will need to transition to the latest version to gain access.
