How to Create a Campaign

  1. Within the Subsplash Giving portion of your Dashboard, navigate to Campaigns. Once clicked, you will be taken to the Active tab within Campaigns. This will house all campaigns that are currently underway. The Completed tab will list all campaigns that have concluded

  2. With the Active tab selected, select Create Campaign in the upper right corner.

  3. Create a title for the campaign and allocate a Start and End Date, Fund, and financial Goal.

    1. A campaign must be associated with a Fund. You may use an existing Fund or create a new Fund by visiting the Funds Page.

  4. While creating a Campaign, it can be published, or set to draft. These options will appear in the upper right corner as Publish, or Save Draft.

  5. Let's assume you selected Publish! Congratulations, you created a Campaign! When the Start Date arrives, your donors will be able to create Pledges.

Campaigns can be deleted when they are in the draft state using the trash can icon. Campaigns cannot be deleted once they are active or scheduled. Instead, they can be renamed to something like "Test" or 'Do not use." Multiple campaigns can be tied to the same fund so functionality is not affected. Campaigns are only accessible via the Share Campaign URL.

Campaign Progress & Management

Now that the Campaign is underway, you can track its progress, create Pledges on behalf of Donors, and share a custom Campaign URL.

Progress

Within the Progress tab of the Campaign, there are a few sections worth noting!

Progress Bar

The progress bar includes three labels, their definitions are as follows:

  • Given: this number reflects the Gross Amount (pre-fee) donated. Donations with the status of Batched, Pending, Transfer Pending, and Paid are included in this calculation. The amount given is represented by a numerical value and a dark blue color on the progress bar.

  • Pledged: this is the total Gross Amount Pledged by your Donors. The amount pledged is represented by a numerical value and a light blue color on the progress bar.

  • Goal: this is the overall target of the Campaign established when creating the Campaign.

Campaign Status

If the Campaign includes the current date, the status will be displayed as Active in the upper right corner. If the Campaign was scheduled for the future, the status will be displayed as Scheduled.

Pledges

This will be a collection of all Pledges created by a Donor or Admin. In addition, the Pledge amount and progress will be listed for each Donor. A Completed status will appear when a Donor meets or exceeds their pledged amount.

If a donation is made to the campaign fund without an existing pledge, the donation will count toward the amount Given; however, it will not be included in the Pledge section. Later, if the Admin creates a pledge, the pledge will appear in Pledges and the previous donations will be included in the progress of the donor's pledge.

Any donation given to the fund within the campaign's timeline will be counted towards the amount Given, regardless if the donor has an established pledge. If an Admin creates a pledge for the Donor at a later time, any donations previously given within the campaign's timeline will be counted towards the Donor's pledge.

Custom Giving Link

Each Campaign will have a custom Share Campaign URL when the campaign is in "Active" status. When and how to use these options are listed below. A share URL is not available when the campaign is in "Scheduled" status.

Management

Creating Pledges on Behalf of a Donor

The Beta release allows a donor to create a pledge; additionally, an admin can create a pledge on the Donor's behalf. You can create pledges for users who donate using any method: electronic, cash, or check.

We do not recommend creating a pledge without the Donor's knowledge or permission as this can break trust and set unnecessary expectations. When a pledge is created, Donors will receive a confirmation email.

  1. Within the Subsplash Dashboard, navigate to Campaigns, choose the desired Campaign, select the Progress tab, and click + Create Pledge within the Pledges section.

  2. Search and select the individual using the Name field. If the individual is not within your People database, select + Create to add a new individual.

  3. Input a Pledge Amount and click Create Pledge.

Editing or Deleting a Pledge

This Beta release allows an admin to edit or delete a pledge on the donor's behalf. To do so, select the pledge from the Pledges section and edit the pledge's value, or select the trash can icon to delete.

Deleting a pledge will not affect the donor's transactions and therefore will not affect the total Given towards the campaign's goal. However, it will remove the pledge from the list and reduce the campaign's Pledged amount.

Remember, even if a pledge does not exist, any donation to the campaign's fund will be counted towards the campaign's progress.

Exporting Pledges

Pledge and Donor information can be exported by clicking Export in the Pledges section! This information will be downloaded onto your device in a .csv file format.

The following information will be included in the export file:

  • First Name

  • Last Name

  • Email

  • Phone

  • Street 1

  • Street 2

  • City

  • State

  • Zip

  • Pledged Amount

  • Gross Given

  • Net Given

  • Fees

  • Percent Complete

  • Active Recurring

  • Recurring Frequency

  • Gift Count

Sharing a Campaign

A custom Link is provided when a Campaign is created. With this link, you can easily share your campaign page through various channels such as email, social media, and your own website! A campaign embed will be available in later versions!

How to Edit a Campaign

The details of the Campaign can be edited at any time while it is Active or Scheduled. From the Campaigns tab, select the Campaign, and click the Basic Info tab. From here, make the desired changes and click Save in the upper right corner.

Pledging & Batches

With a campaign linked to a fund, by selecting the corresponding fund while manually recording a donation, the gift will count towards the amount Given. If the donor has an established pledge, the gift will automatically count toward its progress. To learn about manually recording donations, please see our article.

If the donor asks to have a pledge created on their behalf, you may create the pledge before or after recording their donation. If the donation date falls between the Campaign's start and end date, the donation will be allocated to the Campaign and the donor's pledge.

Donor Emails & Statements

As mentioned above, when a pledge is created, the Donor will receive an email confirming the details of their pledge.
