How to generate tax statements with Subsplash Giving

The time has come to send end-of-year tax statements to your donors! Every organization is different, so we have provided you with various options.

Merge duplicate profiles now to ensure each donor receives a single tax statement.

Bulk Statements

Generating Bulk Statements

  1. First, log into the Dashboard

  2. Navigate to the Statements section

  3. Select + Generate New Statement

  4. Select the date range.

    1. When generating the statement early in the year, you can select the box "Include pending transactions" to ensure donations that have not been deposited are included on the generated statements. It's important not to select this option when sending official tax statements.

  5. Click on Generate

    1. You'll now see a new statement being generated! Depending on the size of your donor base, it may take about 10-40 minutes for the statements to be ready. Feel free to navigate away from this page and continue with your work.

    2. When the statements are ready, you will receive an automated email.

  6. Return to the Statements section of the Subsplash Giving dashboard by clicking the blue "Manage Statement" button. Now you'll see the statements are ready!

Downloading & Mailing Bulk Statements

This step is not required when emailing statements to your donors, as they can be sent directly from the Subsplash Dashboard. However, we recommend downloading and saving a copy of the statements on a local computer for your records.

  1. Select the three dots to the right of the statement

  2. Click Download

  3. A file will be downloaded onto your computer and will be found in the Downloads folder

  4. The file will be downloaded as a zip file, double-click the zip file to unzip it.

  5. Click on the unzipped folder

  6. You'll be presented with two items

    1. The first is a single PDF including every donor's statement

    2. The second is a folder including a separate PDF for each donor

Mailing Paper Statements

If you’re mailing paper statements, it’s important to ensure they are printed and formatted correctly. Our paper mailing statements are specifically designed to fit envelope #10, ensuring a professional and polished presentation for recipients.

Email bulk statements

After the statements have been generated, you may email them to your donors.

  1. From back in the Statements section of your Subsplash Dashboard, select the three dots to the right of the statement.

  2. Click Email

  3. A confirmation window will appear, when ready, select Yes, send emails

  4. You will see a Success! confirmation pop-up in the upper right corner of the Dashboard

  5. Shortly after, your donors will receive an email

  6. Selecting View Statement will download the individual's statement to their computer

  7. A few days after you send your statements, you will receive an email that will have a CSV of who received their statements and who did not.

  8. Click the blue "Download deliver report (CSV)" button to generate a CSV.

Individual Donor Statements

Generating Individual Donor Statements

You can access and send individual tax statements through the People section of the Giving Dashboard.

  1. Select an individual

  2. Under Giving, select the Pencil Icon

  3. If a statement was previously created for the donor (via bulk or individual), the statement will be listed under Statements. If a new statement is desired, select + Generate new statement under Statements.

  4. Next, select the date range and click Generate.

  5. Once generated, select the three dots to the right of the newly created statement. This will allow you to download, email, delete, or view the statement's history.

Managing Bulk or Individual Statements

In addition to downloading or emailing the statements, you may delete or view their history. To locate these options, select the three dots to the right of the statement.

A donor may no longer download an emailed statement if it's deleted from within the Subsplash Dashboard.
