How to generate tax statements with Subsplash Giving

The time has come to send end-of-year tax statements to your donors! Every organization is different, so we have provided you with a variety of options.

Merge duplicate profiles now to ensure each donor receives a single tax statement.

Generate Statements

  1. First, log into the Dashboard.

  2. Navigate to the Statements section.

  3. Generate your tax statements.

Select the date range.

  • Select the year that you would like to generate statements for.

  • Or, select Year to date which would be the present year up until today. For example, if today is January 14, 2022, the statement date would be from January 1, 2022, to January 14, 2022. This option is best if donors would like to know the ongoing total of their gifts for the current year.

When generating the statement early in the year, you can select the box "Include pending transactions" to ensure donations that have not been deposited are included on the generated statements.

Click on Generate New Statement.

If you have a large donor base, it may take about 10–15 minutes for the statements to be ready. You may refresh your web browser.

You will receive an email when your statements are ready.

Return to the Statements section of the giving dashboard by clicking the blue "Manage Statement" button.

You will now see that the status is Ready.

Download bulk and individual statements

You can download PDF statements in bulk or individually. Downloading statements works best if you’d like to email the them out through your own email system one-by-one or print out a paper copy.

From the Statements section of the Giving Dashboard, click on the previously generated Statements to download a PDF. This will download a zip file with a PDF that includes all statements for one easy printout. Depending on the size of your statements, there may be more than one bulk file.

In addition, there is a file labeled “individuals.” Within that file are the donors’ individual PDF statements.

Email bulk statements

After your statements have been generated, you will then have the option to email them to donors.

Simply click on the three-dot menu at the right side of the statement listing to open up the options to Download, Email, Delete or view the history for the statements.

A confirmation window will appear to confirm that you are about to email all statements to your entire donor base.

Click on Yes, send emails.

Meanwhile, a donor will receive an email.

The donor can then click on View Statement to download a PDF. Below is an example.

A few days after you send your statements, you will receive an email that will have a CSV of who received their statements and who did not.

Click the blue "Download deliver report (CSV)" button to generate a CSV.

  1. Take note of who did not receive their statement.

  2. Login to the Dashboard

  3. Search the name of the donor

  4. Click the desired profile.

  5. Click the Giving tab within the donor profile

  6. Generate a statement

  7. Email or download the statement and send it to the donor.

Manage an individual donor statement

You can access and send individual tax statements through the People area of the Giving Dashboard.

  1. Select the donor.

  2. Scroll down until you see Manage statements.

If you have already generated tax statements for your organization, their tax statement will be ready to download as a PDF or email. However, if you have not generated statements for your entire organization or their individual statement in particular needs to be regenerated, you can do so here.

If you click on Email, you will only be emailing the statement to one donor.

Delete statements and view statement activity

You can track statement activity to see who in your organization made changes to statements.

  1. Navigate to the Statements section.

  2. Click on the three dot menu to the right side of each generated statement.

  3. You can click the Delete button to delete statements, or History button to view the history for those statements.

To delete all of your statements for your organization, click on Delete, confirm, and generate new statements.
