How to create new volunteer teams and get them signed-up.

Rosters can be used to create groups or teams that are needed for each Service. We can then create roles within those teams to make it easy to fill the roles.

From your Homepage, open the Services overview page. Then, in Services Types, click Planner.

In the Multi Planner, we will see the Services we already created in the Repeating Service, click Add New Roster Type.


Add a definition for your roster and then you will be asked to add positions. For example, let’s say we want to add a band, we would then create several slots for the different positions within the band e.g. lead singer, guitarist, etc.


Add as many positions as you need to create a list of roles within your roster.

Now you can add specific parameters or requirements to your slots. Set a minimum or a maximum number of people you need for each role, how you would like the role to be accepted, and whether it can be refused or not. You can even add capabilities that you would like candidates for the role to comply with to be matched with the role.

Save the roster and return to the multi-planner screen. Now you will see that a new section has been added at the bottom for the rosters that you created. Click the Add button to fill the space with your positions.

Once you have rosters assigned to your Repeating Services you can manage them from here.


Managing Rosters

When you have rosters assigned to Services, you can see which roles have been filled and you can fill them by inviting members from your contact lists to fill them.

Highlight the role you would like to fill by clicking on it.

Then, in the panel on the right, you can use the search box to search your contacts for the person you would like for that role (over time, the system will be able to make suggestions based on the characteristics of your contacts. These will appear under Suggestions). When you have found your contact, click + to assign them to the highlighted role.

They will appear in blue, meaning that they have been suggested but not yet assigned to the role. If you want to send these members an invitation to accept the role, click the Send Proposed button at the top right. The number on this button indicates the number of proposals you will be sending.

Alternatively, you can send the proposal just to those within one specific Service, by using the Send Proposed button at the top of the column or the button just above it.

All the availability information is in the system, which makes it easy to know who might be able to fill those roles. As such, if you try to assign a contact to a role that conflicts with another role they have already been assigned, you’ll see a pop-up warning.

Once the notification has been sent, the role will turn white while it is awaiting a response. The contact will be able to accept or reject the proposal (depending on the settings you added previously) and this will update the status on the planner.

Changing the Order of your Roster Teams in the Multi Planner View

To change the order in which your Volunteer Teams appear in the Multi Planner view, select the pencil icon next to the team you would like to change and navigate to the "Advanced" section. From here, you can add a weight to your team to dictate where it will display.

Lighter weights will display higher on the multiplanner than heavier weights (Example: 1 will show above 2).
