Adding a Volunteer (View Only) User in Church Management

The Volunteer (View Only) Access Pass allows a user to view Church Management Services, Plans, Rosters, Sheet Music, and Songs. This Access Pass keeps the user from having access to create, edit, or delete anything in the system.

Inviting a New User

To invite a new user with view-only access to the management side of the platform, follow these steps:

  1. Go to the management section of your platform.

  2. Click on Settings and then select Users.

  3. On the top right corner of the users page, click on New User.

  4. Fill out the required information for the new user. This includes their First and Last name and email address.

  5. After inputting the user information, click the Access Passes tab towards the top left.

  6. Choose the Volunteer (View Only) Access Pass and assign it to the new user.

  7. Save the changes by clicking Save. This action will trigger an email invitation to the user's email address provided earlier.

Accepting Invitation

The invited user will receive an email with an invitation to join the Dashboard.

They should click on the email link to accept the invitation. This link will lead them to a page where they can create a password and update their first and last name.

Logging In

Once the user has set up their password, they can log in using the following steps:

  1. Go to the URL app.fluro.io

  2. Click on Sign in with Email Address.

  3. Enter their email address and the password they created.

  4. Click Sign In to access the Church Management Dashboard.

Access Permissions

Upon successful login, the user with the Volunteer (View Only) access pass will be able to view sections like services, volunteers, and library on the management dashboard.

This process ensures that the new user is properly invited, granted appropriate access, and can seamlessly log in to begin using the platform as a volunteer!

"Persona Validation Failed" Error Code

When attempting to invite a user to the church management dashboard, you may receive a "persona validation failed" error. This means the user already has an app profile that was set up with the same email address. Here's a step-by-step breakdown of how to resolve this:

  1. Navigate to Settings > Users.

  2. Invite the user from the Subsplash Dashboard side. This action overrides the error code on the Church Management user invite.

  3. The invited user will receive an email invitation. They must accept this invitation, which will direct them to the Subsplash dashboard.

  4. The user will create their account on the Subsplash dashboard and log in successfully.

  5. Instruct the user to navigate to the Church Management section by clicking the Management button on the left side of the Subsplash Dashboard.

  6. Now that the user has access to the Church Management Dashboard, you'll want to deactivate their access to the Subsplash Dashboard.

    1. Navigate to Settings > Users on the Subsplash Dashboard.

    2. Find the user, click on the three dots, and choose Deactivate. This action removes their access to the Subsplash Dashboard.

  7. Return to the Church Management side of the platform.

  8. Access the user's profile under the Settings > Users tab and navigate to the Access Passes tab.

  9. Assign the Volunteer (View Only) Access pass to ensure they can view necessary information without any editing capabilities.

By following these steps, you should be able to resolve the validation error, allow the user appropriate access, and manage their permissions effectively between the Subsplash Dashboard and the Church Management dashboard.
