Share Songs and Sheet Music using Collections

In this guide, we'll walk you through the steps to effectively share songs and sheet music with your music team using Collections in Church Management.

Before beginning, we will want to make sure the privacy settings for the songs and sheet music we would like to share are set to "Public" so they can be viewed by individuals who do not have access to your dashboard.

Step 1: Locating content you would like to share

  1. Navigate to the Library: Start by opening your Church Management platform. On the left-hand side, locate and click on "Library".

  2. Select Songs: Within the Library section, there is an area with all the songs in your library. Choose the songs that you want to share with your music team by selecting them.

  3. Select Plans: Plans or order of service can also be added to a Collection. These can be found under Volunteers > Plans.

Step 2: Creating a Collection

  1. Add items to Collection: Once you've selected the items, look for the option "Add to a Collection" in the side menu. Click on it.

  2. Name the Collection: A window will prompt you to name the collection. Give it a descriptive name, such as "Sunday Worship Songs July 2024".

  3. Set Expiration Date (Optional): If needed, you can set an expiration date for access to this collection.

  4. Create the Collection: After naming and optionally setting an expiration date, click on "Create".

Step 3: Sharing the Collection

  1. Generate Share Link: Locate the collection you've just created. You will find it on your dashboard under Library > Collections. Select the three dots or a similar menu icon next to the collection.

  2. Copy Share Link: From the options that appear, choose "Copy Share Link". This link will allow your music team to access the collection.

  3. Share the Link: Send the copied link to your music team via email, text/SMS, messaging within your mobile app, or any other communication method you prefer.

Step 4: Accessing and Using the Shared Collection

  1. Opening the Collection: Members of your music team can open the link you've shared without needing to log in to the Management platform.

  2. Viewing Song Details: Upon opening the collection, they can see all the details of each song included. This includes viewing sheet music and understanding the flow of the song.

  3. Downloading Sheet Music: To download sheet music, team members can select the three dots or a download icon associated with the sheet music preview. This will allow them to download the sheet music for offline use or printing.
