The Transfers section of your Subsplash Dashboard is your central hub for tracking how and when donor generosity moves from a digital gift into your actual bank account. Whether you are reconciling weekly deposits, checking on a pending ACH transaction, or navigating how a bank holiday might shift your payout schedule, this guide breaks down everything you need to know to keep your books perfectly balanced.
Understanding Deposits
By default, Subsplash will deposit funds into your bank account weekly, every Wednesday. While Wednesday is the day you will receive the funds, the batching date for any transfer will typically fall two business days prior: Monday at 12:01 AM UTC (based on the time zone your bank utilizes)
When those funds hit your bank account, a Past Transfer report will generate in the Transfers area of your Dashboard. The exact time funds become available in your account is determined by the receiving bank’s processing schedule. These schedules can vary due to internal operations, systems, or updates within the banking network, which are beyond our control.

Individual donations can only be included in a transfer once the funds have been processed and released by the donor’s bank before the batching time. This most commonly affects ACH transactions, which typically take 1-3 days to process. Navigating your Transfers page
Bank account details
After navigating to Giving > Transfers in your Subsplash Dashboard, click Bank account info in the top right to view your bank details. This page displays the specific checking account where Subsplash routes your transfers. Only one bank account can be linked to a Subsplash Giving account at a time.

At this time, Subsplash can only deposit funds into a Checking account.
Pending Transfers
The Pending Transfers section is a running balance of all gifts that have been processed, or are still being processed, but have yet to be transferred to your bank account.
Type: This can be Online or Remote deposit. Online refers to all card and ACH transactions, while Remote deposit refers to any uncommitted Remote deposit batches.
Bank account: The bank account set to receive your deposits.
Gross: The pre-fee amount given by your donors.
Fee: The total amount of fees for that pending gross amount.
Net: The amount (post-fee) eligible to be deposited into your bank account.
Because this balance includes unprocessed gifts and gifts processed within different deposit timelines, it is important to note that this balance is not necessarily an indicator of how much you will receive in your next transfer.
Clicking into the Pending Transfers section opens a summary page breaking down these balances in detail. This view also includes a complete list of every individual transaction included in the pending balance.
Past Transfers
The Past Transfers section shows your entire history of Transfers from Subsplash to your bank account. As soon as a transfer has been successfully deposited into your bank account, it will appear here.
To view the details of any given transfer, you can click on the transfer of your choice. You will then be presented with the Past Transfer details page.
Transfer Details: The general details regarding your transfer, including the net, gross, fees, donor-covered fees, bank account information, and Transfer date.
Totals: A breakdown of the total number and amount of gifts and payments received.
Allocation Summary: A breakdown of how the transactions in this Transfer are allocated towards specific Funds and Payment Sources.
Transactions: All of the transactions included in this transfer. Any refunded or disputed transactions may also appear in this section as a negative line item.
Export: This is where you'll be able to export a CSV file for your transfer. For more information, check out the Export your Transfer section below.
Reconcile: This is a toggle switch that allows you to mark a Transfer as reconciled. This does not currently affect your transfer in any way and is only a visual cue.
Your bank should reflect the Total amount listed in the top left of the page, but you should be entering the Gross as your income and the Fee as an expense when balancing your books.
Transfer Statuses
When viewing your Transfers page, each Transfer will display one of three tracking statuses to let you know exactly where your funds are in the pipeline:
Completed: The transfer has been successfully paid out, and the receiving bank has approved it.
Pending: The transfer is actively in transit and/or waiting for formal clearance from the receiving bank.
Failed: The deposit was rejected by your financial institution. If a transfer fails, your bank account will need to be re-verified or updated before payouts can resume. You can follow the step-by-step instructions in our Add or Update Your Giving Bank Account article to resolve the issue. Once updated, your transfers will automatically return to their normal schedule.
Export your Transfer
You can download a detailed CSV export of your deposit at any time! Simply navigate to your desired Transfer detail page and click Export in the top right corner.
If you are an existing Subsplash Giving user, we updated our export file format to consolidate your transactional data and streamline your financial reporting!
Here are the key updates you will notice in the new file format:
One consolidated file now contains both charitable and non-charitable transactions instead of two separate files.
The terms Gift and Payment are now combined under Transactions.
Memos are no longer visible in the Transfer export, but you can easily access them by navigating to Giving > Gifts and running an export there.
A new Transaction Type column specifies whether an entry is a Gift or a Payment.
User IDs from the previously separated reports are now consolidated under the Profile ID column.
Donor Covered Fee (DCF) is now labeled as Covered Fee.

Bank Holidays
There are eleven US Bank holidays each year that impact when you receive your bank deposit. Regardless of whether your organization is US or Canadian-based, this schedule affects you because our backend processor, Stripe, is US-based and observes these federal holidays.
The eleven observed bank holidays are:
January 1st: New Year's Day
Third Monday in January: Martin Luther King, Jr. Day
The third Monday in February: President's Day
The last Monday in May: Memorial Day
June 19th: Juneteenth
July 4th: Independence Day
The first Monday in September: Labor Day
The second Monday in October: Columbus Day
November 11th: Veterans' Day
The fourth Thursday in November: Thanksgiving Day
December 25th: Christmas Day
When a federal holiday falls on a Sunday, it is observed on the following Monday. When a holiday falls on a Saturday, it is observed on the preceding Friday.
How bank holidays affect Transfers
When a bank holiday falls on a Monday or Tuesday, the weekly transfer batches early on the preceding Friday. Because of this early cutoff, weekend donations are pushed to the following week's deposit. Holidays occurring later in the week won't alter your batching schedule, though Transfers and ACH processing may experience slight clearing delays.
Deposits may be offset by an additional day to account for the bank holiday. However, this will not affect any long-term deposits.

It is quite common for ACH gifts to take a week or more to hit your account. ACH gifts require 1-3 business days on average to verify, approve, and release the funds to your Subsplash Giving account before they can be transferred. During the holiday season, it can be greater than that.
During peak holiday seasons, this window can widen. Because this process relies entirely on banking business days, weekends and bank holidays extend your waiting time. Smaller banks and credit unions can also experience seasonal backlogs (such as around Christmas), extending manual processing times.

Card transactions utilize immediate credit networks. When a donor uses a card, the processor essentially fast-tracks the approval to speed up the transaction, settling the actual funds transfer behind the scenes later.
ACH, however, moves actual cash directly out of a bank account. It requires a few days to securely communicate with the donor's bank, verify that the funds are available, and pull the money. While some services offer expedited ACH by loaning funds early, Subsplash does not support this functionality at this time.

If a deposit fails, you will see a red Failed status on the specific Transfer under the Past Transfers section. To fix this, your bank account must be updated or re-verified. Follow the steps in our Add or Update Your Giving Bank Account article to resolve the issue. Once updated, your transfers will automatically resume their normal schedule.

Fees are automatically deducted prior to the deposit. Subsplash transfers the Net amount to your bank account, so you never have to worry about paying a separate monthly invoice for processing fees. You can easily view the exact fees withheld for any payout by opening its specific transfer report.
