Financial Gateway & Donation Sync Configuration for Rock

Send donations to Rock as transactions to allow your accounting/finance team to batch and reconcile in one system.

Set up your Financial Gateway

Navigate to System Settings, click Financial Gateways, and add a new gateway. Select Subsplash Gateway. Connect your Subsplash API client. Activate the gateway and click Save.

Map Subsplash Funds to Rock Accounts

Go to Admin, select Installed Plugins, click Subsplash, and choose Funds. Select Sync Funds to pull your Subsplash funds into Rock.

You will see rows for each fund and sub-fund. If you use campuses, you will see extra rows for those campus names. No Rock Account is selected when you first sync. Map your funds to Rock Accounts. You can map one fund to multiple accounts.

Return to the plugin when you add new funds, sub-funds, or campuses in Subsplash to map them to a Rock Account.

Sync Transactions for the first time

Select Sync Transactions after you map your funds. Set the date to your first gift in Subsplash. This action backfills Rock with your historical giving data. You can return to this page to sync gifts manually for specific days or time frames.

Sync Transactions with a Rock Job

Automate your daily sync by setting up a scheduled Job.

  1. Go to Admin, select System Settings, and click Job Administration.

  2. Click the plus icon to add a new Job.

  3. Choose Sync Subsplash Donations (Plugin).

  4. Select your Subsplash Financial Gateway.

Set your Cron Expression to run nightly. The system sets the sync window to 14 days by default. This window covers ACH processing times. Add a notification email to receive alerts about sync errors. Your existing donations will continue to sync automatically.

Resolve Job Exceptions

The plugin highlights gifts, recurring gifts, or payments that fail to send to Rock. Two specific exceptions require manual corrections.

Missing profile data

The plugin cannot map a transaction to a Rock contact if the Subsplash profile lacks a name or email. Use the ID provided in the exception to find the user in Subsplash. Fill in the missing profile details.

Missing fund mapping

This error occurs when a Subsplash fund, sub-fund, or campus lacks a mapped Rock Account. Go to Admin, select Installed Plugins, click Subsplash, choose Giving, and select Pull funds. Ensure all rows have a Rock Account selected.
