Make sure your initial plugin setup is complete.
Set up your Financial Gateway
To establish the Financial Gateway, take the following steps:
Navigate to Admin Tools > Settings > Financial Gateways.
Click the + button to add a new Financial Gateway.
Name it Subsplash Gateway.
Ensure the Gateway Type is set to Subsplash Gateway.
Select the previously created API client.
Activate the Gateway.
Click Save.
Map Subsplash Giving funds to Rock accounts
To map Subsplash Giving funds to Rock accounts, navigate to Admin Tools > Installed Plugins > Subsplash > Giving. In the Donations section, select Pull Funds to pull your Subsplash funds into Rock.
Funds and sub-funds are displayed row by row, with extra rows added for any campus-associated funds. Upon initial sync, no Rock Accounts are selected. You must map each fund to a Rock Account, though keep in mind a single fund can be mapped to multiple accounts.
Map Subsplash Payment sources to Rock accounts
New to plugin version 3.0.0, Subsplash Payment Forms and Event registrations can now be synced to Rock accounts. To do so, navigate to Admin Tools > Installed Plugins > Subsplash > Giving. In the Payments section, select Pull Sources.
The table will include the name, source type, and a drop down to match it to a Rock account. These payment sources are non-charitable payments and should not be mapped to Rock accounts included on charitable giving statements.
Return to the plugin and pull any new funds, sub-funds, payment sources or campuses in Subsplash to map them to a Rock Account.
Sync Transactions for the first time
Once you have mapped your funds and sources, select Sync Transactions. Set the start date to your very first Subsplash transaction to backfill Rock with your historical data. After this initial setup, you can return to this page anytime to manually sync gifts for specific days or date ranges.
Schedule syncing transactions with Subsplash Sync
Rock plugin 3.0.0 creates one scheduled job automatically that syncs People, Giving, and Groups. You no longer need a separate job for each feature. We recommend setting the sync to every 15 minutes to ensure data is as accurate as possible.
Subsplash Sync
Go to Admin Tools > System Settings > Job Administration.
Add or open the Subsplash Sync job.
Set the job to run every 15 minutes.
Save the job.
Each run checks the API client settings. The job starts only the enabled syncs that have reached their configuration interval.
Donations and Payments API client
Once Subsplash Sync has been configured, you'll want to setup the Donation and Payments settings in the API client to complete scheduling your sync.
Navigate to Admin Tools > Installed Plugins > Subsplash > Settings > Subsplash API Client.
Expand the Donation & Payments settings.
Ensure that the sync is enabled and configure the frequency you'd like to sync transaction data to Rock. To learn more about each setting available, see our help article here.
Click Save.

Resolve Job Exceptions
The plugin highlights gifts, recurring gifts, or payments that fail to send to Rock. There are a few specific exceptions that require manual corrections.
Missing profile data
The plugin cannot map a transaction to a Rock contact if the Subsplash profile lacks a name or email. Use the ID provided in the exception to find the user in Subsplash. Fill in the missing profile details.
Missing fund mapping
This error occurs when a Subsplash fund, sub-fund, or campus lacks a mapped Rock Account. Go to Admin, select Installed Plugins, click Subsplash, choose Giving, and select Pull funds. Ensure all rows have a Rock Account selected.
Closed batches
The plugin will never modify a closed batch in Rock. If a gift cannot be synced because its batch is closed, a warning containing the gift ID and transfer ID will appear in the sync exception log. To resolve this, reopen the batch in Rock and re-sync that transfer's date range so all gifts are properly recorded.
