New to Rock Plugin version 3.0.0, we've added bi-directional profile syncing. Changes made in either Subsplash or Rock can update the connected profile in the other system during the next scheduled sync.
Before you begin
Install Rock Plugin 3.0.0 or later.
Use Rock RMS version 17 or later.
Complete the initial Rock Plugin setup.
Confirm that your Subsplash API client is active and validates successfully.
Information that syncs
The following fields will stay synced after configuring profile syncing in the Rock plugin:
First and last name
Email address
Phone number
Address
Date of birth
Gender
Custom profile fields do not sync at this time.
Enable People profile sync
To enable bi-directional profile syncing between Rock and Subsplash, please take the following steps:
In Rock, navigate to Admin Tools > Installed Plugins > Subsplash > Settings.
Open the API client for your Subsplash organization.
Find the People settings and expand them.
Enable People sync and select the desired interval.
Save the API client.
Configure the Subsplash Sync job
Rock plugin 3.0.0 creates one scheduled job automatically that syncs People, Giving, and Groups. You no longer need a separate job for each feature. We recommend setting the sync to every 15 minutes to ensure data is as accurate as possible.
Go to Admin Tools > System Settings > Job Administration.
Add or open the Subsplash Sync job.
Schedule the job to run every 15 minutes.
Save the job.
Each run checks the API client settings. The job starts only the enabled syncs that have reached their configuration interval.
The first People sync can take longer for organizations with many profiles. Use the scheduled job for the first full sync. The Sync Now request can time out while work continues on the server.
How profile matching works
The plugin connects each Subsplash profile to a Rock person and saves that relationship. Later syncs use the saved relationship instead of repeating the full matching process. This mapping is also used throughout the plugin to sync gifts and group assignments.
Open the People page in the Subsplash plugin to review profile-to-person relationships by navigating to Admin Tools > Installed Plugins > Subsplash > People.
View the relationship by selecting the desired profile and reviewing the Subsplash counterpart.
If a profile is connected to the wrong Rock person, update the relationship from this page by clicking the drop down and selecting the correct profile. The newly matched profile will take hold in the next scheduled job or manual sync.
Run a manual sync
To run a manual sync, navigate to Admin Tools > Installed Plugins > Subsplash > Settings and select Sync now at the top of the page.
Running a manual sync will trigger a sync for all enabled syncs in the API client settings. Use the manual sync to test small changes. For an initial sync or a large organization, use the scheduled Subsplash Sync job.
Troubleshooting
Below are common scenarios that may require specific steps or things to check when making changes.
A profile did not update
Confirm the People sync is enabled for the correct API client.
Confirm the Subsplash Sync job is active.
Check that the configured interval has elapsed.
Review the most recent job result and Rock exception list.
A profile is connected to the wrong person
Open the People page in the Subsplash plugin and correct the profile-to-person relationship. The next sync will use the corrected relationship.
Sync Now reports a timeout
A large People sync can exceed the browser request timeout. Check the Subsplash Sync job history and the People page before you run the sync again.
