How to Add a User to the Subsplash Management Dashboard

The Management dashboard contains several pre-built Access Passes that allow you to give specific permissions to specific features.

Access Passes can be found in the Settings menu of the Management Dashboard. Multiple access passes can be added to an individual user, allowing for flexibility and customization!

When a user is given access to Management, they will receive an email with instructions to set up their credentials and the URL they will log into.

How to add a User to both the Subsplash and Management Dashboards

Adding a user to both the Subsplash Dashboard and Church Management involves a few straightforward steps. This guide will walk you through the process of assigning roles and permissions, as well as providing alternative instructions for users who only need access to Church Management.

Step 1: Adding the User to the Subsplash Dashboard

  1. Navigate to Settings > Users in the Subsplash Dashboard.

  2. Invite and assign the user a role (Example: Administrator, Content Manager, or Workflow Manager. For more information, see Managing Dashboard Users.)

  3. Instruct the user to log in to the Subsplash Dashboard and click on Management. This action will add them to the Church Management platform.

If the User is added as an Administrator, they will have access to everything within Management as well.

If the User was assigned any permission other than Administrator, they will not have any permissions yet on the Management Dashboard and will need to have those added manually (See Step 2).

Step 2: Assigning Permissions in Church Management

  1. Go to Management > Settings > Users in the Management dashboard.

  2. Locate the user, click on their profile, and add the appropriate Access Pass.

  3. Assign specific roles and permissions based on their responsibilities (Example: Service Manager or Communications Manager).

How to add a User to only the Management Dashboard

Alternatively, if the user only needs access to the Management Dashboard and not the Subsplash Dashboard:

  • Navigate to Church Management > Settings > Users and invite them there.

  • Add Access Passes to their profile for the specific areas of the Management Dashboard you would like them to have access to.

If the user is only granted access to the Management Dashboard, they will need to use https://app.fluro.io/ to log in. These users will not have access to dashboard.subsplash.com, as users are stored differently. Invite Codes (Legacy feature, not recommended)

Each access pass has a unique code that users can enter to redeem and collect the pass. You can use the "Share" button to send an email with the access code and instructions for how to apply the Access Pass to the user's account.

Once a user enters the invitation code, the access pass will be granted to their user profile, and all of the permissions granted by the pass will be granted to the user. If the user does not yet have a user profile in your account, a user profile will be generated for them.

Access Passes

Here is a brief overview of Access Passes on the Management dashboard:

Super Administrator

Grants a user all Access Passes.

Communications Manager

Grants a user permission to create and send Mailouts, SMS Text messages, and other communications to contacts in the database.

Groups Manager

Grants a user permission to create and manage Contact Lists, Groups and Teams.

Service Manager

Grants a user permission to create, and manage services and rostering.

Volunteer (View Only)

Allows user to view select dashboard information with no editing privileges. CLICK HERE to learn more about this access pass.

Forms Manager (Legacy experience only)

Grants a user permission to create and manage forms. (Note: This permission only applies to the Legacy Forms experience within the Management dashboard.)

People Manager (Legacy experience only)

Grants a user permission to view and update contact profiles including custom detail sheet information. (Note: If you are on the New People Experience, this option will not display for you.)

Troubleshooting and Additional Notes

  • Resetting Passwords: Only Dashboard Admins can reset passwords. To do so, go to Settings > Users, select the user, and click the reset link in their profile.

  • Login Credentials: Dashboard credentials are separate from other Subsplash services like Giving or Messaging. Ensure users create a unique password for the Dashboard.
