Transfers & Deposits

Deposits

Subsplash consistently initiates payouts according to each client’s payout schedule. However, the timing of when your bank receives and posts the funds may vary, which is beyond our control. Please allow for some variability in deposit timing.

By default, Subsplash will deposit funds into your bank account weekly, every Wednesday. While Wednesday is the day you will receive the funds, those funds are batched and sent to your account 2-business days prior, on Monday. When those funds hit your bank account, a Past Transfer report will be generated in the Transfers area of your Dashboard.

Individual donations will only be included in a transfer once the funds have been processed and released by the donor’s bank before the batching date, Monday. To learn more about gift processing, check out our gift processing article.


Here's a helpful graphic to show what day you may receive a gift in your bank account, based on the day the gift is processed.

The batching date for any transfer will typically fall two business days prior to the deposit date. By default, this batching date will be Monday at 12:01 AM based on the UTC time zone that banks utilize.


Because Atlantic, Eastern, Central, Mountain, Pacific, Alaska, and Hawaii run behind UTC, transactions that occur on Monday are not included in that transfer. To find out exactly where your time zone falls behind on UTC time, check out this table.

Transfers

Bank Account Details

At the top of your Transfers page are your bank details. This section will display the last 4 digits of the bank account where Subsplash will send your transfers/deposits.

You can change your depository bank account by selecting Edit (only available for Admins & Account Owners).

From there you will be prompted to enter your new bank account details. Upon selecting Save, your account owner will be emailed to approve or decline the requested change.

Only one bank account can be linked to a Subsplash Giving account at a time.

Pending Transfers

The Pending Transfers section can be thought of as a running balance of any gifts that have been processed, or are still processing, but have yet to be transferred to your bank account.

  1. Bank - The bank account set to receive your deposits

  2. Amount - The pre-fee amount given by your donors; the amount currently pending transfer

  3. Fee - The total amount of fees for that pending amount

  4. Net - The amount (post-fee) that will be deposited into your bank account

Note: Because this balance includes unprocessed gifts, it is important to note that this balance is not necessarily an indicator of how much you will receive in your next transfer.

Once you click on the Pending Transfers section, you'll be taken to a summary page that breaks down all of the details of the pending transfers. These details include:

  1. Bank Details - The bank account set to receive your deposits

  2. Fees - A summary of the fees and covered fees

  3. Funds Summary - A breakdown of how much is assigned to each of your funds

  4. Transactions - All of the transactions included in this pending transfer balance

Past Transfers

The Past Transfers section will show you your entire history of transfers from Subsplash to your bank account. As soon as a transfer has successfully been deposited into your bank account, it will appear here.

To view the details of any given transfer, you can click on the transfer of your choice. You will then be presented with the Past Transfer details page.

  1. Transfer Details - The general details regarding your transfer

  2. Fees - A breakdown of the fees and fees covered

  3. Funds Summary - How much of this transfer is allocated towards specific funds

  4. Transactions - All of the transactions included int his transfer

  5. Export - This is where you'll be able to export a CSV file for your transfer.

Your bank should reflect the Total amount, but you should be entering the Gross as your income and the Fee as an expense when balancing your books.

Bank Holidays

There are eleven US Bank holidays each year, which will impact when you receive your bank deposit. Regardless of whether you are US or Canadian-based, this will impact you as our processor, Stripe, is US-based and observes these holidays.

The eleven bank holidays each year are:

  1. January 1st: New Year's Day

  2. Third Monday in January: Martin Luther King, Jr. Day

  3. The third Monday in February: President's Day

  4. The last Monday in May: Memorial Day

  5. June 19th: Juneteenth

  6. July 4th: Independence Day

  7. The first Monday in September: Labor Day

  8. The second Monday in October: Columbus Day

  9. November 11th: Veteran's Day

  10. The fourth Thursday in November: Thanksgiving Day

  11. December 25th: Christmas Day

When any federal holiday falls on a Sunday, the holiday is observed on the following Monday.

When any federal holiday falls on a Saturday, the holiday is observed on the preceding Friday.


What does this mean for weekly deposits?

When a bank holiday falls or is observed on a Monday or Tuesday, only gifts from the previous Monday-Friday will be able to be included in the week's scheduled deposit. The rest of the weekend’s donations will be included in the following week’s deposit.

In some cases, such as daily deposits, deposits may be offset by an additional day to account for the bank holiday; however, this will not affect any long-term daily deposits.


If a bank holiday falls on a Friday, this will be able to be included in the following week's transfer. There is a possibility you may not see those deposits until the following week if they are an ACH (bank account) donation, though. This will be similar to how the weekend's donations are handled and deposited, where the gifts given with a debit/credit card are immediately processed and included on the next scheduled transfer and the ACH donations will still take 3-5 business days to transfer.

For a holiday like Thanksgiving, this typically won't affect the bank deposit schedule, as donations will still have Friday to process.


This will apply to weekly deposits typically received on Wednesday.

What does this mean For daily deposits?

Daily deposits may be offset by an additional day to account for the bank holiday. This will not affect any long-term daily deposits, though.

How long does it take for a gift to be deposited into my bank account?

The time it takes for a gift to deposit into your bank account will depend on whether the gift has been processed, how long it will take to process, what day it processes, and when the next batch date is for your upcoming transfers. Be sure to check out our article on gift processing.

It has been over a week since an ACH gift was given, and I still don't see the funds in my bank account. When will I receive these funds?

It is quite common for ACH gifts to take up to a week or more before they hit your account. During the holiday season, it can be greater than that. The reason for this is that ACH gifts require 1-3 business days on average to verify, approve, and release the funds to your Subsplash Giving account before they can be transferred. Since this process relies on business days, weekends and bank holidays will extend the processing times. At times, due to the manual nature of processing an ACH gift, smaller banks or credit unions simply get bogged down during busy seasons (such as Christmas), resulting in longer processing times.

Why can't ACH gifts be processed right away like debit and credit cards?

Most debit and credit cards rely on a credit network to make the transfer of funds quick and easy. When you make a payment with a card, you are essentially loaned the amount to pay for the goods or services more quickly, and your card processor handles the details to transfer funds at a later date. Since ACH is moving money directly from your account, it takes a couple of days to contact a bank to ensure the money is available and then transfer the money to the receiving party. There are a few services out there that treat ACH like debit or credit, by loaning funds for quicker transactions, but Subsplash cannot offer such a service at this time.

If a banking holiday falls on a Monday or Tuesday, your transfer will batch on Friday, rather than Monday, and will not include that weekend’s donations.
